And to get it started somehow, i will post the minutes of our second meeting:

MINUTES OF THE MEETING OF THE PR& CATERING COMMITTEE OF 1ES4
30 NOVEMBER 2007


Present:
Evgeniya Razsolkova (Chair)
Anjuli Choenni (Treasurer)
Wiktoria Cembzynska


1. Apologies for absence

Apologies were received by Amy (Bing Jing Jang)

2. Brainstorming about the food

It was decided that the food would consist of small snacks and beverages (part of which will be international and will be prepared by some members of the committee. We are still thinking or a way to connect it thematically to the event. The guests will be served welcoming food upon entrance (tee/coffee/ cookie/ muffin)

‘The frozen muffin’ Anjuli reported that the muffins served at the school’s café are initially frozen and need no special preparation. We are considering of including them in the menu.

3. Contact with sponsors

Anjuli has already contacted some sponsors but she is still waiting for a reply. She has asked C1000 (supermarket for food) and another big company which supplies catering materials and she is expecting an answer soon. We were thinking of contacting a ‘copy shop’ for sponsorship for the leaflets and posters that we are going to give out.


4. The Model Letter to the sponsors

Niya will work on a model letter to the sponsors and send it to the other committee members tonight for approval and correction. Wiktoria has seen an advertisement of a copy shop and we could send it to them or to some others Anjuli will look for.

5. Budget

Unfortunately we are still unable to make a distinct prediction on the amount of money we will ask for from the project budget, because we still have not received confirmation from the sponsors we have contacted so far. But our treasurer said she would try her best to make the plan by Sunday.

sorry I think I can't put the meeting agenda about today.
Because I went to the 2year event and I made the report on our forum in "other projects visited". I also put some good ideas about catering from their event.
I'm so tired, sorry.

As agreed on our last meeting i was supposed to do the brochure by the 24th. I am sorry that i am a bit late but i managed to 'create' something tonight. It is the first draft and I know it needs a lot of improvement. I would appreciate feedback though.

Since it is a word doc and I don't know how to put such things on the forum, I am sending it via school e-mail.

Marnix will post a flyer he made today and we are wondering whether we should combine them or have a flyer and a brochure separately. Let us know what you think about that.(please do that)
